Zoom Integration

Today, we're going to show you how to integrate your platform with Zoom for video appointments. 

Note: Keep in mind that this new feature only works with team calendars, but it is possible to have a team calendar with only one user. 

Team Calendar

First up, we'll need to verify that we have a team calendar created. Click “Settings” on the left and then click “My Staff” on the new left menu that appears. Then click “Edit”.

This will open a window that allows us to edit our team's details. For this example, our team has only one member selected under the Team Info dropdown, named Test User.

 

In the Calendar Team Configuration dropdown, make sure that your team calendar exists and has a URL link. Ours does, so we're ready to integrate Zoom. 

Click “Save” to close the popup.

 

Now, click “Team Management” on the top Settings menu, and then we’ll click “Edit” on our test user.

 

 

This opens a new popup with our test user's calendar configurations. 

Zoom

To integrate Zoom, you need to be logged in as the actual user (test user), so we'll do that now.

Once you're logged in as the user, click “Profile” in the Settings menu.

Scroll down and you'll see the new Zoom integration area. Now, click “Connect”.

 

 

This will open up a Zoom login pop-up. Enter your login details, check the captcha, and click “Sign In”.

 

The window will close and we're back to our Profile settings. 

As you can see, there is now a red Disconnect button in the integrations area. Great! This means that our Zoom has been successfully connected.  

 

 

Calendar for Zoom Appointments

 

 Next, we'll need to create a calendar for our new Zoom appointments.

Let's go to Calendars on the Settings menu and then click “New Calendar” on our test calendar card.

 

Here, you’ll create a new calendar as usual. 

However, now there's an option next to our test user that lets us select Zoom or custom. Let's choose Zoom.

 

 

Next, we'll add some dummy details for our new calendar, and then click “Save and Continue”.

 

 

Availability

 

On the next availability tab, you can adjust your appointment availability, but we're going to just click “Save and Continue”.

 

 

And on the confirmation tab, click “Complete” to create your calendar. 

 

 

Now, let's take a look. We'll click the calendar to open it up.

 

 And then we'll create a test appointment. 

Select a date and time and then click “Continue”

 

 

 We'll enter some dummy details for the appointment attendee and then click “Schedule Meeting”.

 

 

And as you would expect, an appointment is now scheduled.

 

 

New Appointments

 Lastly, we're going to switch to the calendar and open up the new appointment details.

 

 

Scroll down to Meeting Location and you can see that the Zoom link is automatically added. And that's not all. The link is also added to your Google Calendar integration and invites if you have those options enabled.

 

 

On the Google Calendar page for the appointment, we have that same Zoom link. And in the editor below, our test information shows up. You can also use custom values like appointment dot location for adding the Zoom link in other places.
