Want to diversify your calendars? Here's how you can create more calendars for yourself and your team.
PRO TIP: The system works better with Team Calendars. You can create several calendars, with different time slot duration and names, and have them under 1 Team Calendar.
How to Navigate Calendar
Click on the "Settings" button.
Go to Calendars.
Once on the Settings menu, go to "Calendars".
Go to Calendars and click on “Create Calendar”.
Choose the calendar type from any of the available options.
Round Robin
Simple Calendar
Class Booking
Team & Event Set Up
Go to “Add a User”.
Click on the dropdown and select the team member you'd like to assign the calendar to. The minimum is 1 person per calendar.
Set Up A Round Robin Distribution
If you chose a Round Robin calendar type, you have the option of how meetings from your calendar will be distributed amongst the team members in the “Appointment Distribution”.
Optimize for Availability will assign appointments to the team members based on High, Medium, or Low priority.
Optimize for Equal Distribution will divide the appointments equally as they come in.
Name the calendar and add in a description. This will show up in your booking calendar widget.
Configure custom Calendar URL for Unassigned Calendars
This feature gives users the ability to configure a custom calendar URL in the "Unassigned Calendar" type. This means you can now add a personalized and relevant calendar URL that reflects your business name or is associated with the appointment itself. This customization adds a unique touch to your calendar appointments and enhances their relatability.
Once you have typed in the custom RUL, the system will check the availability of the custom URL.
You will see:
“Check” - if the custom URL is available for you and you can save it.
“Cross” – this means the custom URL is not available. Change it and make sure it’s unique and you get it.
Widget Type
Scroll down where you can see the following options:
Classic (which was under Unassigned)
Neo (which is being used for another calendar type)
Click “Save & Continue” once done.
Availability
You can customize the duration and intervals for your appointments to suit your preferences. This means you can decide how long each appointment should last and how much time should pass between each appointment. By adjusting these settings, you have control over the length of your appointments and the gaps between them. Select from the drop-down menus your preference.
Go to “Scheduling Notice” to set up notices before your designated away hours.
This means that you can specify a certain amount of time in advance that you require for scheduling appointments.
Go to “Office Hours” to choose the days and hours you are available. Toggle on the “Recurring Appointments” button if it is a recurring appointment. Click “Save and Continue” once done.
Confirmation
Once you've configured your confirmations, your clients will find it very easy and straightforward to book appointments with your team.
In "Form Settings" you can leave the default form you have there and this option will show a very basic contact form (full name, email & phone number) once someone books a time.
You can also use any form from the form builder to gather more information from your clients.
Edit Notification & Additional Options
Choose the notification options in "Notification & Additional Options". We recommend you leave all of them on, especially the "Let the calendar autoconfirm" option.
Edit Additional Notes
Customize your "Additional notes", you can add more info for your reference.
Edit Thank You Message
You can choose between having the default thank you message or a custom one.
Click on the "Custom Thank You Message" button.
In the text box below, type in the message your clients will see after they schedule a time on your calendar.
Save the Changes
Click on "Complete" after you've finished editing to save the changes.
And you're all set! Any time you want to edit or update your calendar preferences, follow these 3 simple steps.
